Access During Construction

Dear Members,

As planning for Frame the Future continues, we want to share an update on several operational changes that will support Club access during construction. 

Phase 1A remains on track to begin in mid-August, with a confirmed start date to be communicated out closer to construction. 

Over the past several years, the Club has continued to evaluate Member usage patterns, facility activity levels, parking demand, and overall access across the Club. This work has helped our team better understand where construction will have the greatest impact and where operational adjustments can best support Member access throughout the project.

Through that analysis, it became clear that parking and Club access will be among the most significant challenges during construction. The review also highlighted pressures that already existed during some of the Club's busiest periods, particularly weeknights and Saturday mornings. While construction will increase these pressures through reduced parking availability and changes to access routes, many of the decisions outlined below are intended not only to prepare for construction, but also to better manage peak-period demand and improve access to the Club moving forward.

We recognize that some Members have already experienced changes through the Fall Programming adjustments, and that additional changes will be required as construction progresses. While these adjustments may affect how some Members use the Club, they are intended to help preserve access to the programs, services, and amenities that Members value most. 

As construction moves forward, our commitment is to communicate clearly, plan thoughtfully, and continue making decisions that put Members first. 


Our Approach During Construction 

To prepare for construction and support access to the Club throughout the project, a number of operational changes have already been implemented, with additional measures being introduced as construction begins, including: 

  • Requiring all staff to park off-site throughout construction, helping protect on-site parking availability for Members. 

  • Pausing major non-member events, tournaments, bonspiels, and external rentals throughout construction. 

  • Implementing Fall Programming adjustments, which have already been communicated to Members and are designed to better distribute participation throughout the week. 

  • Limiting guest and non-member access during peak periods. 

Together, these steps are intended to help the Club navigate construction in a way that prioritizes Member access, manages demand during peak periods, and keeps key services operating throughout the project. 


Guest, Social & Non-Member Access 

Over the past several months, the Club has undertaken a detailed analysis of Member and guest counts, program participation, facility usage, parking demand, and peak-period activity patterns. This work included visual (heat) mapping across the Club to better understand when and where demand is highest, and to identify the areas most likely to be impacted during construction.

The analysis highlighted the significant role that guest and non-member activity play during some of the Club's busiest periods, particularly weekday evenings and Saturday mornings. On many Saturday mornings, guest counts have exceeded 120, not including social or dining guests, adding substantial demand to parking, amenities, and shared spaces during one of the busiest times of the week.

These insights helped inform the operational decisions outlined below, balancing the value of guest access with the need to maintain parking availability, manage facility demand, and support access to Club amenities for active Members throughout construction.


Guest Access During Construction 

Guest access has long been part of Club life and provides Members with the opportunity to introduce family, friends, and colleagues to the Calgary Winter Club. 

With construction reducing parking availability and placing additional pressure on facility access, guest privileges will be significantly limited.

Guest access will be available: 

  • Monday to Friday after 8:00 pm 

  • Saturdays, Sundays, and Holidays after 4:00 pm 

Members will be limited to registering a maximum of four (4) guests per Shareholder account, at any one time.

All guests entering the Club will be required to register through Member Services and will only be permitted during designated guest hours. This includes guests utilizing Club amenities, inactive family members on your account, non-member spectators, social guests visiting RnR or Café, individuals attending casual business meetings, and any other non-member accompanying an active Member. 

For clarity, during construction, anyone who is not an active Member, including guests, inactive family members, social guests, individuals attending casual business meetings, and other non-members, will only be permitted to access the facility when signed in as a guest by an active Member, during designated guest hours, and subject to applicable guest fees and Club policies. 

Members who wish to make changes to a family member’s status are reminded to contact Membership at membership@calgarywinterclub.com prior to June 30, 2026. 


Non-Member Spectators & Program Drop-Off 

The Club recognizes that occasionally families rely on non-member parents, guardians, grandparents, and other caregivers to assist with drop-off and pick-up for younger children participating in registered programs and lessons.  

Drop-off and pick-up access will continue to be supported throughout construction. To preserve Member access during this period, non-members dropping off or picking up children for registered programs will be asked to check in at the Member Services desk and provide identification each time they enter the facility. Non-members completing drop-off or pick-up will not be permitted to remain in the Club during programs, lessons, or activities and will be asked to exit the facility once drop-off or pick-up is complete.


Parking, Access & Entrances 

Parking availability will be impacted during construction, particularly during Phase 1A, as portions of the site will be required for construction staging and laydown areas. The Club is working closely with Buttcon West Ltd. to minimize these impacts wherever possible.

Several measures have been implemented to help offset the reduction in available parking, including requiring all staff to park off-site throughout construction, Fall Programming adjustments, guest access changes, and the pause of non-member events and rentals.

Once construction begins, the Main Entrance will close and the Upper North Entrance, currently known as the Sentry Entrance, will become one of the Club's primary access points for Members. 

To further support access throughout construction, two additional temporary entrances are planned to open in early September: 

  • Temporary Tennis Entrance 

  • Temporary South Entrance, located near Badminton 

Member Services will operate from both the Upper North Entrance and Temporary Tennis Entrance, ensuring Members continue to have access to guest registration, account support, and other Member Services functions throughout construction.

Additional details regarding parking operations, traffic flow, accessibility routes, signage, wayfinding, and implementation timelines will be communicated closer to construction. Members can also expect additional communication in July, including confirmed implementation dates and further details regarding access changes.

These are temporary but necessary adjustments that will help the Club continue operating during a period of significant construction. 

We recognize that some of these changes will require Members to adjust familiar routines, and we appreciate the flexibility, patience, and understanding of Members, staff, and the broader Club community as we move through this important phase of Frame the Future together. 

Since the launch of Frame the Future communications in March, the Club has maintained and expanded a detailed FAQ to help Members stay informed throughout the project. As planning continues to evolve, the FAQ is updated regularly and remains the most comprehensive source of information regarding construction impacts, operational changes, project timelines, and what Members can expect in the months ahead. 

Additional updates, including confirmed implementation dates and construction readiness information, will be shared with Members throughout July.
